仕事内容 ■The Goal
The Administrative Executive will secure reporting receipts, help on reconciliation,
coordinates payments and controls expenses by receiving, processing, verifying, and
reconciling invoices.
This position will also organize and coordinate administration duties and office procedures
to create and maintain a pleasant, safe and effective work environment.
Finally, she/he will support the Managing Director in executing various administrative
responsibilities.

■What you do

AR&P support
・ Facilitate accounting reporting process with HQ based in Paris
・ Maintain accounts payable files and records
・ Keep track of all payments and expenditures, including expenses reports, purchase
orders, invoices, statements, marketing budget, etc…
・ Maintain accounts receivable files and records
・ Perform account reconciliations
・ Investigate and resolve any irregularities or enquiries
・ File and maintain historical records
・ Manage petty cash

General affairs support
・ Ensure the efficient and smooth operations of the offices and manage the day-to-day
tasks
・ Organize the office layout and ordering stationery and equipment
・ Maintaining the office condition and arranging necessary repairs
・ Coordinate IT equipment setting and maintenance with designated subcontractor
・ Budget control on office and team travel expenses

Administrative support
・ Provide a full range of secretarial and administrative support to the Managing
Director including schedule meetings, appointments, travel arrangement and
expenses
・ Prepare meeting materials, agenda, take minutes and follow up actions for regular
meetings
・ Simple translations from/to Japanese from/to English or French
・ Coordinate internal matters and consolidate various reports
・ Handle ad-hoc assignments

【働き方】
・リモートワークあり
 曜日の制約はなく週1回まで可能です。ただし、試用期間中は極力ご出社いただきたいですが、WFH時に集中した業務をするなど、メリハリをつけながら業務していただける環境です。
・フレックスタイム制あり(コアタイムは11時~16時)
応募資格

【必須(MUST)】

・ 3-year working experience in Administrative / Accounting support
・ Experience in Accounting is a plus
・ Excellent communication skills in both written and spoken English and Japanese.
French is an advantage.
・ Excellent interpersonal skills
・ Strong sense of responsibility and integrity
・ Good analytical, Powerpoint & Excel skills
・ Meticulous, pro-active with a positive mindset
・ An ability to prioritize and manage expectations
