Location: Tokyo, Japan Reporting to: Japan Market Leader JOB DESCRIPTION: Your responsibilities will include, but are not limited to: Sales Support Team Lead (4 members): - Escalate on‑the‑ground issues to the appropriate stakeholders in a timely and effective manner. - Communicate messages and directives from management to team members and support their effective execution. - Make appropriate decisions based on a solid understanding of the sales support process Administrative Assistant: - Coordinate internal office events and lead workplace-experience initiatives to promote collaboration, employee engagement, and a positive working environment. - Assist with onboarding new staff members and provide administrative support to other departments as needed. - Organize and coordinate meetings, conferences, and special events, including preparing agendas, materials, and presentations. Ensure that meeting logistics are handled smoothly, including room reservations, catering, and audiovisual equipment setup. Where required, attend meetings to record minutes and key actions - Maintain organized and up-to-date electronic and physical filing systems for leadership documents, reports, and records. Ensure confidentiality and accuracy in handling sensitive information. - Lead and assist with special projects and initiatives, as assigned by the Market Leader and/or Leadership Team, including research, data analysis, and presentation preparation. Collaborate with team members to ensure timely completion of projects. - Support executive visitors from global AVEVA offices during their trips to Japan. This may include schedule management, restaurant arrangements, transportation, etc. For Japan Market Leader: - Efficiently manage and prioritise calendars including scheduling meetings and appointments, assisting with travel arrangements and anticipating scheduling conflicts & proactively resolving them - Serve as a primary point of contact for internal and external communications, screening and prioritizing emails, phone calls, and other correspondence. Draft and prepare correspondence on behalf of the Market Leader and/or leadership team for review - Arrange domestic and international travel accommodation, including flights, hotels, transportation, and visas, as required. Provide detailed itineraries and ensure that travel plans align with executive preferences and business objectives. - Track and reconcile executive expenses, including processing reimbursement requests, reviewing receipts, and maintaining expense reports. Coordinate with finance department as needed. |

【必須(MUST)】 •More than 3 years of experience in sales support roles and/or experience as an Administrative Assistant•Experienced working at multi-national companies with complex organization structure •English Skills: Business level •Japanese Skills: Native level •Strong Hospitality and Customer Excellence mindset 【歓迎(WANT)】 •Team management experience is nice to have |
