This role reports to the Manager, Workplace Services and is based in Tokyo, Japan. This role will be responsible for managing and executing facilities operation at our Tokyo offices. The business is growing at a rapid rate and expanding our footprint in Tokyo and other cities. This role will need to work closely with the employees at Tokyo offices , as well as global Workplace Services team to deliver the world class hospitality and high level service to support the business. The real Estate and Workplace Service Team embodies our culture and customer centric environment. The ideal candidate will demonstrate critical thinking, multi－tasking abilities, and to work proactively. He or she must demonstrate proven success in a dynamic and fast paced environment with high communication skills to form a collaborative relationship with employees, guests, building management, etc. to maintain and operate the facility.
・Oversee day－to－day facilities operations to effectively manage Tokyo offices to achieve operational efficiency and hospitality.
・This role is based in the office as most of responsibilities are conducted and managed on site.
・Responsible for managing Facilities Management Operational budget
・Responsible for managing multiple vendors and liaise with Building General Contractors
・Responsible for maintaining the cleaning standard by working closely and efficiently with Building Cleaning team and in－house cleaning team
・Ensure Office Branding such as Signage, Plant Program, Culture Galleries, and Company Branding are in line with the Global ・Standard by working with Branding and Design team
・Responsible for Furniture Management such as inventory, storage, maintenance and design standard.
・Execute ticket requests relate to Facilities Management
・POC for Building Management Office and need to communicate and operate efficiently for building maintenance and local codes etc.
・Responsible for Asset Management of Facilities furniture and equipment
・Maintain and manage operational playbooks and documents
・Strong communication skills to interact with employees and guests with world class hospitality to ensure the role meets the high expectations set for the team.
・Build and Maintain positive relationship with all members.
・Strong data entry skills to measure data and metrics to operate strategically.
・Support other team members such as MAC, Office Service, Project when needed
・Other duties may be assigned
・3 years of experience in facility management, office services, administration, or office manager is required.
・Customer service experience
・Advanced interpersonal skills and strategy thinking
・Must have a can do attitude and willingness to execute the job
・Vendor and cost management experience is required
・Fluent in Japanese
・Strong writing and speaking English skills to work across other regions
・Knowledge of the region and basic understanding of the market
・Vendor management skills are required as managing multiple vendors
